Sharing Files

The application categorizes users with access to files or folders as ‘Collaborators’. As an originator you can:

  • Share items with a Collaborator who has a user account, or
  • Share items with a Collaborator on an Adhoc basis using an email address

Access to shared items can be limited using a combination of date and/or time to protect items from unauthorised access attempts in the future.

Note: Providing a Collaborator with download permission will enable them to obtain an unencrypted copy of the file or folder that was shared. 

Use the navigation tabs below provide further information on how to share items using different clients.

Web Browser

To Share content with a Collaborator using the Web application:

  1. Select the required file or folder in the browser window.
  2. Click the Share button located on the toolbar, right click the file and click Share or click the share icon in the file row.
    Note:  If you do not have permission to share, you will not see the Share option.
  3. Enter the users email address, or the email address of the intended recipient.  Then click "Add" to add them to the share list.
  4. Select the permissions that you wish the collaborator to have.
    • View: Limits access to view the content using the encrypted content viewer.
    • Edit in Office Online:  Allows View plus the ability to edit supported file types in Office Online
    • Download: Limits the collaborator to view, edit in office online, print and download permissions.
    • Create: Limits the collaborator to view, edit in office online, print, upload and download permissions.
    • Manage:  Allows all the create permissions, plus the ability to share the file with others.
    • Co-Own: Provides the collaborator with all permissions that the original owner had
  5. If you wish, specify a date and time limitations that should be applied to this collaborator.
  6. Click the Share button to complete file sharing.

Collaborators will receive an email notification providing them with a link and instructions to access the encrypted file.

Windows

To Share content with a Collaborator using the Windows client:

  1. Select the required file or folder in the Secured folder.
  2. Right-click the required item choose the 'Safe Share' option.
  3. Enter the users email address, or the email address of the intended recipient.
  4. Select the permissions that you wish the collaborator to have.
    • View: Limits access to view the content using the encrypted content viewer.
    • Edit in Office Online:  Allows View plus the ability to edit supported file types in Office Online
    • Download: Limits the collaborator to view, edit in office online, print and download permissions.
    • Create: Limits the collaborator to view, edit in office online, print, upload and download permissions.
    • Manage:  Allows all the create permissions, plus the ability to share the file with others.
    • Co-Own: Provides the collaborator with all permissions that the original owner had
  5. If you wish, specify a date and time limitations that should be applied to this collaborator. 
  6. Click the Save button to complete file sharing.
